Summary
The Project Management Centre of Excellence (CoE) is a newly established department within the Strategic Projects Group. It sits alongside three other departments, the Strategic PMO which manages the delivery of enterprise scale initiatives, the Enterprise Business Analysis team, and the Business Process Transformation team.
The CoE acts as the strategic advisory and capability centre for project management. It enables teams to deliver through guidance, tools, learning, and governance assurance; it does not directly manage project delivery. Its vision is to embed a consistent, mature project management culture across the organisation — where every team has the tools, frameworks, and confidence to deliver successfully and sustainably.
As Tooling and Reporting Manager, you will lead the Tools & Reporting domain of the PMO CoE, with primary responsibility for the rollout, implementation, and adoption of Celoxis (Project Management Tool) and the ongoing management of the CoE Knowledge Hub.
You will act as the subject-matter expert for project management tools, reporting frameworks, and templates. You will ensure Celoxis and the Knowledge Hub are embedded as the backbone of the CoE’s digital ecosystem — enabling consistent delivery, governance, and access to frameworks, templates, and guidance across the organisation.
Responsibilities
Celoxis Implementation & Rollout
- Advise and support on end-to-end implementation of Celoxis across all participating business units in partnership with the project team
- Partner with project teams to execute the Celoxis rollout plan, including configuration, onboarding, and training.
- Collaborate with project team, IT, vendor teams, and BU PMOs to ensure smooth deployment and integration
- Design and maintain Celoxis workflows, templates, dashboards, and reports aligned with CoE standards.
- Establish governance for data structure, permissions, and version control within Celoxis.
- Serve as key liaison with Celoxis vendor support for issue resolution, feature requests, and updates.
Knowledge Hub & PMO Toolkit
- Own and administer the CoE Knowledge Hub (e.g., Confluence or equivalent), ensuring it houses all approved frameworks, templates, playbooks, and guidance.
- Manage structure, access, tagging, and version control to maintain a single source of truth for PMO materials.
- Partner with the Head of CoE to upload, update, and publish content in line with maturity roadmap milestones.
- Develop and maintain the PMO Toolkit — including templates, dashboards, workflow diagrams, and supporting documentation.
- Drive consistency between Celoxis artefacts and the Knowledge Hub repository.
Adoption, Training & Support
- Deliver training, user guides, and onboarding materials for Celoxis and the Knowledge Hub.
- Run regular clinics and drop-in sessions to reinforce standards and collect user feedback.
- Conduct adoption and usage reviews, reporting on engagement, data quality, and compliance.
- Capture improvement opportunities and iterate tool and hub functionality.
Reporting, Benchmarking & Governance
- Develop best practice for project reporting and develop approach within Celoxis.
- Support the Head of CoE in engaging and agreeing standard reporting approaches with business unit teams and consolidated portfolio reporting.
- Maintain portfolio and maturity reporting dashboards using Celoxis and Power BI.
- Produce periodic usage analytics and adoption dashboards for Celoxis and Knowledge hub for CoE leadership review.
Requirements
- Proven experience leading tool rollouts or PMO system implementations (Celoxis experience highly desirable).
- Expertise in PMO tooling ecosystems, data governance, and workflow design.
- Hands-on experience with project management and knowledge management platforms (e.g., Confluence, SharePoint, Celoxis).
- Skilled in dashboard and report creation (Power BI, Tableau).
- Strong documentation and template design abilities.
- Excellent facilitation and training delivery skills to support adoption.
- Analytical and process-driven mindset with attention to detail.
- Project management certification (APM, PMI, PRINCE2) desirable.
- Agile certification advantageous.
- Training or facilitation qualification beneficial.
- Strong stakeholder management, capable of balancing governance with user needs.
- Comfortable driving structured change and digital adoption across multiple departments.
- Occasional travel to support training and workshops.
